Summary Of Features

 

PackageTrack.Net, ResidentNotify.net & ResidentNotify.com


The pages below are a brief summary of our applications. Each application shown below is broken down into the same order that you will find them in the application’s menu system.  Many features are role (Administrator, Staff, etc.) based and only accessible based on the logged in user's role.

Menu Systems: All yyyZ, Ltd applications use the same basic structure.

  • Desktop PC: On a desktop, there is a main menu at the top of the page. When you select one of the options from the top menu, there will then a new menu that offers additional menu options on the left side.
  • Mobile Device: On a mobile device, the menu is a pop-out. Activate it by clicking on the image that appears on the upper left and lower right – it is an image with three lines. The menu will scroll from the left and contain all options and groups outlined below. The mobile device menu button may also be used from a desktop PC.

[Home] Button: The initial/Home screen may be recalled at any time from any page in the application by clinking on the [Home] button on the bottom right of the screen.

[Top] Button: When scrolling a long page, clicking on the [Top] button will immediately take you to the top of the screen.

Page: Each function outlined below will be referred to as a page. A brief description of each page is also included in the summary.

Help: Most every page contains a yellow and red help link on the upper right that contains instructions for that particular page. As changes are made, the help links receive the first update and should be considered the best documentation. Each help screen also contains an option to print the help information.

Security: All pages use SSL [Secure Sockets Layer] for security. You should see an https:// instead of http:// in the browsers command line.

Roles: Roles determine what information is available and usable once entering the website. The roles are defined as follows: Administrator and Staff.

User Name & Password: PackageTrack.net can be setup with a generic (one user name & Password for the entire staff) or individual logins for each staff member. ResidentNotify.net and StaffTimeClock.net use individual logins for each eligible staff member. Typically, access to ResidentNotify.net is limited to property management. Property management and staff members designated to add permission records, maintenance requests, etc. and need assistance records are always an individual log in.

CondoAdmin.net contains all administrative functions and reports. Access to this site is limited based on the users role in our system.

Administration

  • Resident Add/Edit: Add/Edit/Suspend/Delete Residents

  • Permission to Enter: Add/Edit/Delete Resident Permission/Front Desk Instructions

  • No Reminders: Stop Package Received Reminder Notifications

  • Event Types Add/Edit: Add Event Types Based on your Needs
  • Package Carriers: Add/Edit Package Carriers to the Default List

  • Receiving Locations: Add/Edit Receiving Room Locations
  • Storage Areas: Add/Edit Storage Areas in the Receiving Area
  • Message Footer: Add Footer to All Initial Package Notification Messages

Reports

  • PDF Reports:
    • Needs Assistance: A list of residents needing special assistance in case of an emergency. Print and leave at the front desk in case of an emergency.
    • Package Logs: A pdf reports that can be used to log packages if the computer is down
    • Permission List: A list of all permission to enter forms that are active for the next 10 days. Print and leave at the front desk in case the computer is down.
    • Package Table: A table of pending packages like the one that we send to the administrator as a PDF at 4pm each day
    • USPS List: A list for your USPS carrier so the mail ends up with the right resident
    • Phone List: A resident list sorted by Last Name. Print and leave at the front desk in case the computer is down.
    • Phone List: A resident list sorted by Unit Number. Print and leave at the front desk in case the computer is down.
  • Find By Track ##: Find By a Package using a Tracking Number
  • Package Archive: An archive or packages received
  • Package Unit Count: Count of Packages Received by Unit
  • Pending Delivery: Packages pending delivery to a resident
  • Notification Summary: Summary of how Residents are Notified
  • Notify By = None: Non-Participating Residents
  • Package Statistics: Statistics of packages received
  • Package Table: A table of pending packages in unit number order
  • Package Export: Export Package Count List to CSV File
  • Peak Months Chart: Chart showing Packages Received for the Current and Previous 13 Months
  • Peak Times Chart: Peak Times when Packages are Received or Picked UP
  • Count By Carrier: Get Count of Packages by Package Carrier, example UPS,Amazon, USPS, etc.
  • Count By Package Type: Get Count of Packages by Package Type, example Small Box, Over Sized, etc.
  • Check Owner's List: Check Owner's Information
  • Owner CSV Lists: Owner CSV Lists
  • Package Summary: Summary of Packages In/Out

 


 

PackageTrack.net : Link to Website

Home: The initial screen that appears after logging into PackageTrack.net. This screen contains a menu with most of the “Receiving” options. For authorized staff members,  “Permission to Enter”, “Package Pickup Authorizations”, “Needs Assistance” and "Maintenance Requests" are located under the [Administration] menu tab. This screen may be recalled at any time by clicking on the [Home] button on the bottom right of the screen.

Package Tracking: Package receiving from carrier and subsequent delivery to residents.

  • Pending Packages: A list of all pending packages awaiting pickup.
  • Receive Packages: Package delivered to receiving area by a package carrier.
  • Deliver Signature Pad: Deliver to Resident using a Topaz Signature Pad
  • Deliver Touch Screen: Deliver to Resident using a Touch Screen
  • Deliver Manual: Used when resident picks up package without signing to move package from pending to delivered.
  • Change Status: Returned/Missing/Deleted... To be used when a package is lost/misplaced or returned after being entered into the system and before delivery to the resident. A tracking number may only be entered into the system once. If an error is made (example… assigned to the wrong resident) it can be deleted and then re-entered for the correct resident.
  • Send Delayed: If packages have been entered using the Delay button, this link can be used to send all delayed packages. We also automatically send at 10AM, 11AM, Noon, 4PM, 6PM and 7PM.

Will Call: Resident drops off item at front desk for someone to pick up.

  • Pending List: A list of pending Will Call items awaiting pickup.
  • Resident Drop Off: Page to use when a resident drops an item off at the front desk.
  • Deliver Signature Pad: Get signature of designated recipient using a Topaz Signature Pad
  • Deliver Touch Screen: Get signature of designated recipient using a Touch Screen

Front Desk: Additional options available.

  • Resident Lookup: An easy way to look up a resident. Any Permission to Enter forms on file will automatically also appear for that resident.
  • Daily Schedule: Schedule of events, resident move in, resident move out, deliveries, etc.
  • Calendar: Same information as daily schedule except in calendar format.
  • Daily Log: A log of daily events as entered by your door staff. The daily log may be searched based on unit number or other word type queries.
  • Guest Register: Guests sign in using by electronic signature. The register may be searched based on unit number or other word type queries

Reports

  • Package Archive: A historic listing of packages received.
  • Package Table: A table of pending packages like the one that we send to the administrator as a PDF at 4 PM each day
  • Packages by Day: A count of packages received during a time period for each unit receiving one of more packages.
  • PackageCount: Select a time period and and get a count of packages received, packages delivered and packages received and delivered during the selected time period. 

Administration: Available to staff members given limited administrative roles.

  • Permission To Enter: Add/Edit ‘Permission to Enter’. Access must be designated by Administrator.
  • Pickup Authorizations: Add/edit/delete resident package pickup authorizations
  • Needs Assistance: Add/Edit Needs Assistance Records. Access must be designated by Administrator.
  • Maintenance Requests: Add/Edit maintenance requests. Request sent directly to maintenance area.

 


 

ResidentNotify.net : Link to Website

Home: The initial screen that appears after logging into ResideNotify.net. This screen may be recalled at any time by clinking on the [Home] button on the bottom right of the screen.

  • Notifications: Setup new notifications or review prior notifications. Once a notification is sent, its status is changed to complete and may not be edited or deleted. Each notification also includes a report for the administrator outlining who was sent the message and who was not notified based on their preference not to be notified.
  • Administration: Administrative options and reports.

Notifications: The initial screen that appears after logging into ResideNotify.net. This screen may be recalled at any time by clinking on the [Home] button on the bottom right of the screen.

  • Notifications Add/Edit: View previous notifications and add new notifications
  • Resident Lookup: An easy way to look up contact information for a resident.

Administration: The initial screen that appears after logging into ResideNotify.net. This screen may be recalled at any time by clinking on the [Home] button on the bottom right of the screen.

  • Unit Summary: Summary of Units Purchased by Year
  • Message Summary: Messages Sent by Year
  • Notified By: A summary of how residents are notified.

ResidentNotify.com : Link to Website

ResidentNotify.com is a web based system designed to assist residents in buildings that we represent to manage their package information, front desk instructions and contact information. After registration, the following functions/pages are available to you:

  • About You: Information about the resident. Any changes made here are sent to the buildings administrator.
  • Front Desk Instructions: Instructions for the front desk and permission to enter unit.
  • Pick Up Authorizations: Name another individual to pick up packages.
  • Reminder Notifications: Discontinue package pick up reminders.
  • Package Archive: A historic listing of packages received.
  • Maintenance Requests: Send maintenance requests to office and maintenance.
  • Monthly Calendar: A calendar of building events as entered by the management office.
  • Change Password: Change password.

For instructions, each page contains a yellow/red [Help] button on the top right of the screen that contains instructions for that particular function.

Our only requirement for a resident to register is to have a cell phone number and email address in our systems and that as part of the registration, they enter both their email address and cell phone number.

A resident can register by doing the following …

  • Go to: http://ResidentNotify.com
  • When they arrive select "Login" and then click on "Register to Enter".
  • Answer CAPTCA "Sum of Numbers" and click on "Submit Answer"
  • Complete the required information and click on "Send Request"

After the registration is confirmed using information is our files, a message will be sent to the registrant. When the request is sent, an email or text message with a 9 digit code and instructions to finalize the registration will be sent.
